Can I run Concierge on multiple PC's on a network?

Yes - Concierge is specifically designed for use on your local area network - although it runs perfectly well on one PC. In this type of scenario where you want mutiple PC's running Concierge, you would simply install the CDS program on your main SERVER once, then install the main Concierge program on any PC that you want to run Concierge on.

Any PC running Concierge on a different PC to where the CDS program is installed can simply do the following to connect.

1. In the CDS program - make a note of the Server IP address (as shown below) - It will usually be something like 10.0.0.1 or 192.168.0.1 or similar.

2. On the Concierge login screen, click the settings tab and enter the IP address you've noted in step 1 as shown below. Now you should be able to click the 'Update' button and login.

Note: if you're running the CDS and Concierge all on the same PC, then you probably wont need to worry about setting this.

Can I install Concierge onto a Mac?

While we don't support running Concierge on a MAC, there are currently several options available.

Purchasing virtualization software for your MAC allows you to run Windows side by side with your MAC (eg. VMWare Fusion 5). This will allow you to install Concierge onto the Windows portion of your MAC.

Also the latest MAC computers being shipped now allow you to Boot into Windows on startup. This dedicates 100% of the processor power to Windows and Windows applications. However you can’t use Mac OS X again until you restart. For further information regarding this, please contact your apple supplier.

How can I view a previous guest bill?

Viewing a previous guests bill has been made very easy using the Search Option on the top Menu.

It allows you to search for a Guest via their surname, Company, Res #, Channel Booking ID or their Channel extbooking ID number. You can then select the Guest and click Show on Planner to be taken directly to the guest in history.

How do I know if there's any other users currently using Concierge?

If you open up the CDS (Concierge Database Server) on your desktop you can view here any users that are currently logged in, their IP Address and the date and time they have been logged in. In the example below you can see the only user logged in is John Smith.

When should I run the End of Day?

This can be a tricky question as each business runs their hotel different.

We often recommend to run the End Of Day first thing the following morning, before any of the days check-ins or check-outs. This allows the software to cater for any late walk-ins and stays for the previous night. As such your reporting will show all checkins or checkouts for the whole day, without missing any late arrivals.

What are the minimum requirements to run Concierge?

The windows system requirements are as follows...

  • Microsoft Windows Vista, Windows 7, or Windows 8
    (note: Windows Professional or higher is required on any version of windows)
  • 2GB RAM minimum, 4GB RAM or greater recommended.
  • Display dimensions of 1024x768 or greater
  • Internet connection required for updates and support.
  • External backup storage is required for backing up data (either a USB stick or external backup drive)

How do i email an invoice direct to a Guest?

Right-click on a particular reservation on the main screen and select the Guest Bill option.

At the bottom of this screen select PRINT BILL. A small text box will appear allowing you to EMAIL this invoice direct to the customer.

Note: The customer must have a valid email address linked to their reservation to ensure the option is not greyed out.

How do I load a logo onto my confirmation letters and reports?

You can easily customise your Concierge software to allow your logo to print out automatically on all Letters and Reports. Select from the menu - OPTIONS > SETTINGS > REPORT STYLE

Click the EDIT button to put the settings into edit mode - and then click the LOAD LOGO button. It will prompt you now to search for your Logo (this must be a JPEG or PNG) and click the OPEN button. Your logo will now be embedded into all of your Reports and Letters.

Why is the email option Greyed out when trying to email a Guest?

The Email Option will be greyed out when trying to email a Guest for two reasons:

  1. There is no current email address against the Guest or Company OR
  2. The Print Address Option is set to Print Company Address or Print Guest Address and it should be set to the other one depending on who you would like to email

Can I change the colours of the Grid?

Unfortunately changing the colours of the Grid cannot be done. We have found on many occasions the confusion with customers changing their grid colours, not understanding the manuals as their colours are different to what is shown in the manuals, stays disappearing because of wrong colour choices etc etc. As such we decided that this option would not be available.

Sometimes adjusting the colour and contrast of your computer can make a difference to the viewing colours.

The grid can be colour coded on dates to show special periods of time using Highlight.

How do I print out an Australian Bureau of Statistics Report for my business?

As this is a required report on a quarterly basis for the Hospitality Industry, this was one of the first reports designed to make your life easier. Select REPORTING > REPORT > GUEST > ABS BY DATE

Can I print out a HouseKeeping Report for our Cleaners on a daily basis?

Absolutely! To print out this report select REPORTING > REPORT > GUEST > HOUSE KEEPING

This report will give you a list of all rooms and their current status, Clean, Dirty, check in and check out times, occupied or vacant.
